Activities
- Prepare and process accurate, timely monthly payrolls for TEMMOC and SAMCOL.
- Validate payroll inputs, including new hires, terminations, salary changes, allowances, overtime, bonuses, deductions, leave, and attendance.
- Perform pre-payroll and post-payroll controls, investigate variances, and maintain clear approval evidence.
- Reconcile payroll results monthly with Finance and resolve discrepancies before accounting close.
- Ensure salaries, taxes, social security contributions, benefits, and other payroll-related obligations are paid on time.
- Prepare and submit statutory declarations and reports, including IRPS, INSS, NUIT, and INE requirements.
- Maintain complete, accurate, and confidential employee records in physical and digital formats.
- Ensure consistent employee and payroll data across HR4U, Power Pay, and other HR systems.
- Administer employee bank-account documentation and coordinate payroll payment files with approved banking partners.
- Prepare payroll journals, provisions, cost allocations, reconciliations, and supporting schedules for Finance.
- Respond promptly and confidentially to employee payroll queries and provide clear explanations of payslip items.
- Produce payroll reports, dashboards, headcount analyses, leave balances, overtime reports, and people-cost forecasts.
- Maintain accurate headcount records and update the organizational chart monthly.
- Monitor time, attendance, and leave records, following up on incomplete or inconsistent submissions.
- Share monthly working-hours data with HSSE and leave-balance reports with CODIR members.
- Coordinate employee onboarding and offboarding payroll actions, including final settlements and required documentation.
- Prepare employment offers, employment contracts, amendments, and payroll-related employee letters.
- Manage employee retirement processes and coordinate required benefit and statutory documentation.
- Coordinate expatriate immigration and legalization processes, including work permits and work visas.
- Coordinate participation in salary surveys and support compensation and benefits benchmarking.
- Distribute individual social reports accurately and on time.
- Support internal and external payroll audits by providing complete records, reconciliations, and control evidence.
- Maintain payroll procedures, calendars, checklists, and process documentation in line with legislation and company requirements.
- Protect personal and payroll data by applying confidentiality, access-control, retention, and data-quality standards.
- Identify payroll risks, control gaps, and cost-optimization opportunities, including overtime and other people costs.
- Monitor payroll service indicators, such as accuracy, timeliness, query resolution, and statutory compliance.
- Contribute to HR projects and campaigns, including the TotalEnergies Capital Campaign.
- Provide payroll backup and business-continuity support during absences, system outages, and critical processing periods.
Candidate Profile
- Bachelor’s degree in Human Resources, Management, Law, Organizational Psychology, or another relevant field.
- At least five years of relevant HR or payroll experience, including end-to-end payroll processing.
- Good knowledge of Mozambican payroll legislation, personal income tax, social security, and employment requirements.
- Fluency in Portuguese and English.
- Strong proficiency in Microsoft Excel, Word, email, and payroll or HR information systems;
- Experience with Power Pay and HR4U is an advantage.
- Strong numerical ability, attention to detail, analytical thinking, and reconciliation skills.
- High standards of integrity, confidentiality, accuracy, and accountability.
- Ability to organize competing priorities and consistently meet strict payroll deadlines.
- Clear communication, customer-service orientation, and effective teamwork across functions.
