Job Description

Summary:

Ares is seeking an AVP, Regional Facilities Manager UK/EMEA and LATAM for our Corporate Services department. As a regional manager, the AVP oversees a wide variety of corporate real estate, facilities and hospitality services and is responsible for overall office management in our London offices (5 Locations) and our broader European office footprint (including Paris, Frankfurt, Munich, Luxembourg, Amsterdam, Milan, Dubai, Mexico and Brazil and potentially additional locations over time), reporting into the Head of International Facilities.

Primary Functions & Essential Responsibilities:

Regional Leadership & Strategy

• Act as the senior Corporate Services and Facilities lead across the London, EMEA and LATAM offices, working closely with Office Manager liaisons in larger regional offices.
• Provide positive, supportive and proactive leadership to the Corporate Services team, fostering a collaborative management culture focused on team development, performance, accountability and continuous improvement.
• Manage, coach and develop Associates, Analysts and other onsite team members, providing clear direction, setting expectations and supporting individual and team growth.
• Provide regional leadership and subject matter expertise on Facilities and Corporate Services matters, influencing stakeholders and driving alignment on priorities, standards and service delivery.
• Partner with senior business leaders and local office leadership to understand evolving business requirements and translate these into effective workplace, facilities and service solutions.
• Develop and implement consistent Corporate Services and Facilities standards across the regional portfolio, balancing a high-quality and consistent workplace experience with local business and regulatory requirements.
• Maintain oversight of the regional office portfolio, identifying opportunities to optimise space, service delivery, operational efficiency and cost in support of business needs.
• Establish and monitor appropriate operational, service and financial metrics, using data and stakeholder feedback to drive performance and continuous improvement.

Daily Operations & Workplace Experience

• Monitor Facilities requests and ensure the team responds promptly and courteously, maintaining a strong customer service focus and clear communication with requestors.
• Liaise with building management teams to resolve issues relating to the physical operation of offices, including temperature, restrooms, lighting and other building-related matters.
• Manage relationships with office service providers, including cleaning, copiers, shredding services, office and kitchen supplies and other facilities-related vendors.
• Maintain appropriate levels of office and kitchen supplies, working with the Analyst and Associate to ensure timely replenishment and accurate records.
• Lead and work in partnership with local business leaders on seating allocation, visitor management and new hire seating coordination.
• Manage the office access programme and ensure all applicable compliance requirements are met.
• Perform regular walkthroughs of meeting rooms, common areas and kitchen spaces to ensure office standards of service, presentation and cleanliness are consistently achieved.
• Maintain a strong line of communication with requestors, providing timely updates, clear expectations and estimated completion dates for projects and outstanding issues.
• Proactively identify opportunities to improve the employee and visitor experience and the efficiency of Corporate Services operations.

Workplace Projects, Relocations & Refurbishments

• Assist the Head of International Facilities with regional space planning, leasing and broader workplace strategy.
• Take ownership of the planning and delivery of regional office relocations, refurbishments, buildouts, stacking and office closures, working under the oversight of the Head of International Facilities.
• Lead the day-to-day execution of workplace projects from planning through completion and close-out, including timelines, budgets, stakeholder communications, vendor management, workplace readiness and operational requirements.
• Work closely with senior business leaders, local stakeholders, landlords, project managers, contractors and other internal and external partners to ensure projects are delivered effectively on time and within agreed budgets.
• Lead change management and stakeholder engagement for significant workplace initiatives, ensuring effective communication, business readiness and minimal disruption to operations.
• Maintain appropriate project documentation, financial records and operational information throughout the project lifecycle.
• Provide regular updates to stakeholders and escalate material risks, issues or changes to scope, budget or timelines to the Head of International Facilities as appropriate.

Financial Procurement & Vendor Management

• Support the Head of International Facilities in preparing and managing annual operating budgets and financial forecasts for designated offices.
• Monitor office expenditure against budget, provide regular reporting and identify opportunities to improve cost efficiency.
• Take ownership of the end-to-end purchase order and invoice management process, ensuring invoices are accurately coded, approved and submitted within agreed timelines.
• Review and approve vendor invoices and work closely with Accounts Payable to ensure building-related invoices are processed on time.
• Maintain oversight of outstanding invoices, proactively following up with approvers, Finance and suppliers to minimise payment delays.
• Resolve invoice discrepancies, purchase order queries and supplier issues promptly while maintaining positive vendor relationships.
• Establish and maintain effective relationships with key strategic vendors, monitoring service levels, performance and commercial outcomes and driving continuous improvement where appropriate.
• Review vendor contracts, upload them to Icertis and onboard vendors through Coupa.
• Ensure procurement activities comply with company policies, internal controls and delegated approval authorities.
• Maintain accurate financial and procurement records and documentation to support audits, reporting and operational decision-making. 

Health, Safety, Risk & Business Resilience

• Act as the Corporate Services representative for Health & Safety across supported offices.
• Serve as liaison for the Ares Risk & Crisis Team.
• Coordinate emergency response procedures, including First Aid, Fire Wardens and workplace safety programmes.
• Ensure compliance with local legislation, building regulations and Ares Corporate Services policies.
• Coordinate workplace audits, compliance documentation and insurance requirements.
• Identify, assess and proactively manage facilities-related operational, financial and business continuity risks across the regional portfolio, escalating material risks and developing appropriate mitigation plans.
• Support regional business continuity planning, crisis management and emergency preparedness.
• Assist with Emergency Preparedness initiatives and training for personnel.
• Work with Associates and Analysts to ensure office equipment is maintained in proper working order and coordinate repair technicians when required. 

Service Excellence & Continuous Improvement

• Drive a culture of service excellence, accountability and continuous improvement across the regional Corporate Services function.
• Use stakeholder feedback, operational data and service metrics to identify opportunities to improve service quality, efficiency and the overall workplace experience.
• Work collaboratively across Corporate Services and with other internal functions to deliver effective solutions to regional business needs.
• Perform additional strategic and ad hoc functions and projects as required 

Qualifications & Experience:

• Education: Bachelor’s degree preferred but not required
• 7+ years of experience in a Corporate Services environment
• Knowledge of buildings, maintenance and service
• Experience of liaising with clients, tenants, consultants and local authorities
• Managing third party contractors (in-house and externally)
