We are looking for an Administrative Assistant to provide support to our Hong Kong office. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Administrative Assistant will be a valued team member and should have the ability to work independently and to handle confidential matters with discretion.
WHAT YOU’LL DO
- Partner with leaders and teams across Investment Services to anticipate administrative needs and create efficient day-to-day workflows
- Manage complex calendars, meeting logistics, conference room reservations, and virtual meeting coordination across multiple time zones
- Coordinate domestic and international travel, including itineraries, transportation, accommodations, and schedule changes
- Prepare, submit, and track expense reports, ensuring timely resolution of questions and documentation needs
- Serve as a trusted point of contact for internal and external stakeholders, route requests, and follow up on open items
- Support team onboarding, office coordination, and employee experience initiatives in partnership with relevant business functions
- Handle confidential information with discretion while maintaining accurate records, materials, and communications
- Assist with ad hoc projects that support Investment Services priorities
WHAT’S REQUIRED
- 3+ years of experience managing calendars, travel, expenses, meetings, and daily logistics for professionals or teams
- Strong written and spoken English, with the ability to communicate clearly and professionally
- Proficiency with office productivity tools, including email, calendar, spreadsheet, document, and presentation applications
- Strong organizational skills and attention to detail when managing competing priorities, deadlines, and follow-up items
- Ability to exercise sound judgment, protect sensitive information, and respond appropriately to confidential matters
- Demonstrated ability to build effective working relationships across functions, seniority levels, and external contacts
- Proactive, reliable, and comfortable working independently in a fast-paced environment with shifting priorities
- Ability to support stakeholders across time zones while maintaining responsiveness and high-quality execution
