The Executive Assistant to the Chief Customer & Marketing Officer (CCMO) provides high-level administrative, logistical, and coordination support to the CCMO and the departments under the Customer and Marketing organization. The role is responsible for ensuring the efficient operation of the CCMO's office through proactive calendar and meeting management, stakeholder coordination, project tracking, and administrative support.The Executive Assistant serves as a key point of contact across teams, helping ensure that business priorities, projects, and initiatives are effectively coordinated, monitored, and delivered on schedule. This role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a dynamic environment.
Executive & Administrative Support
- Manage the CCMO's calendar, appointments, meetings, and travel arrangements to optimize executive effectiveness.
- Coordinate meeting logistics, including scheduling, venue arrangements, agenda preparation, presentation materials, and minutes.
- Screen, prioritize, and manage incoming correspondence, requests, and communications.
- Prepare reports, presentations, briefing materials, and executive documentation.
- Handle administrative tasks including expense reports, procurement requests, invoice processing, and document management.
Departmental & Logistics Support
- Ensure departments under the CCMO receive adequate, efficient, and accurate administrative and logistical support.
- Coordinate departmental meetings, town halls, offsites, workshops, and employee engagement activities.
- Support budget tracking, purchase requests, vendor coordination, and administrative processes.
- Facilitate smooth coordination among CIP, BIMC, CGDE, LIFM, CX and related teams.
- Project Coordination & Tracking
- Monitor and track key projects, initiatives, and action items across the Customer and Marketing organization.
- Maintain project trackers, status updates, and follow-up logs to ensure timely completion of deliverables.
- Coordinate with department heads and team members to gather progress updates and identify potential risks or delays.
- Consolidate reports and updates for management review and decision-making.
Stakeholder Management & Communication
- Act as a liaison between the CCMO, leadership teams, internal stakeholders, and external partners.
- Support the preparation and distribution of communications, meeting summaries, and action plans.
- Ensure timely follow-up and resolution of commitments, approvals, and action items.
- Maintain confidentiality and safeguard sensitive business information.
Process Improvement & Governance
- Identify opportunities to improve administrative processes and operational efficiency.
- Maintain organized records, documentation, and centralized tracking systems.
- Support governance activities by monitoring deadlines, approvals, and reporting requirements.
- Leverage digital tools and technology to streamline workflows and enhance productivity.
Compliance
- Ensure that all company policies, procedures, programs and instruction are carried out
- Be familiar and understand Pru Life UK Compliance Standards. Must be fully aware of his/her responsibilities and competent to carry them out to the required standards. Must report all compliance matters openly and honestly to their Compliance Officer in accordance with the reporting requirements operated by the Compliance Officer. Must operate a process within his/her department to ensure that all relevant compliance matters are identified and reported.
