CDI - Creative Administration Project Manager - F/H

Welcome to RIMOWA, the first German Maison of the LVMH Group.We are looking for a dynamic and organized colleague who will play a crucial part in ensuring the smooth functioning of our Creative team.
Responsibilities :
Budget & Invoicing Management
- Own the management and evolution of the team’s budget and financial transactions
- Monitor the team’s finances to finish the year on budget
- Own the relationship between Creative Team and the Accounting Financial team, creating clear communication and collaboration.
- Register suppliers and process invoices for payments in a timely manner, ensuring compliance with financial protocols.
- Proactively manage accounts receivable by chasing outstanding balances
- Handle administrative tasks as needed, demonstrating flexibility and a willingness to assist wherever required
- Organize a yearly bid between production companies and monitor the accuracy of received quotes
Legal & Contracts
- Own and lead all contracts for external suppliers with the Legal Team
- Own the relationship between the Creative Team and the Legal Team, ensuring the legal compliance of all creative activities
Shoot Calendar & Samples Coordination
- Manage the team’s shoot calendar, organizing and coordinating meetings to gather requests from various internal teams
- Provide internal teams with a shoot calendar including the shotlist and delivery dates of all assets
- Assist in the preparation, editing, and distribution of presentations for both internal and external audiences
- Revise the assets overview and ensure the well-organized placement of all content on the server.
- Oversee the stock of product samples, ensuring accurate tracking and organization.
- Coordinate sample DHL pick-ups and deliveries in accordance with shooting plans, contributing to the seamless execution of creative projects.
Qualifications:
- Experience in administrative and accounting roles, preferably in a creative, fast-paced environment
- Very good with numbers and proficient in Excel
- Strong organizational and multitasking skills with meticulous attention to detail.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
- Proficiency in Microsoft Office Suite and other relevant tools.
- Perfect command of English, as it is the primary language used within the team and across the organization.
