Sephora SEA’s omni channel business spans over 8 countries (Australia, India, Indonesia, Malaysia, New Zealand, the Philippines, Singapore and Thailand) with 100+ stores and boasts some global flagships such as ION and Raffles City in Singapore, F88 in Kuala Lumpur and Pitt Street in Sydney. Sephora SEA is experiencing rapid growth in the region with new store openings and business channels (i.e., Click and collect and marketplace).

Office Manager, Sephora SEAO Regional HQ (Singapore) 

Position Summary: Sephora is seeking a highly organized, proactive, and discreet Office Manager & Executive Assistant to provide comprehensive administrative support to senior leadership and ensure the smooth and efficient operation of our Singapore Regional Headquarters. This position requires exceptional communication skills, a meticulous attention to detail, a high level of professionalism and the ability to manage multiple priorities in a fast-paced, dynamic environment. 

Key Responsibilities: 

• Office Management: 
  • Oversee the day-to-day operations of the Singapore Regional Headquarters, ensuring a productive and well-maintained work environment.
  • Manage office supplies, equipment, and vendor relationships (e.g., cleaning services, IT support, facility maintenance).
  • Coordinate office events, meetings, and conferences, including logistics, catering, and venue booking.
  • Manage incoming and outgoing mail, couriers, and general office communications.
  • Ensure compliance with office policies and health & safety regulations.
  • Assist with onboarding and offboarding processes for new and departing employees.
  • Maintain an organized and efficient filing system, both physical and digital. 
    
    
• Executive Support:  
  • Provide high-level administrative support to senior executives, including managing complex calendars, scheduling meetings, and coordinating travel arrangements (flights, accommodation, visas).
  • Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy and professional presentation.
  • Handle confidential information with discretion and professionalism.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Process expense reports and manage petty cash for executives as required. 
    
    

Qualifications: 

• Proven experience (5+ years) as an Executive Assistant supporting C-suite or senior management, combined with experience in Office Management, preferably within a multinational company or regional headquarters.
• Prior experience in the retail, luxury, or beauty industry is a plus.
• Exceptional organizational and time management skills with the ability to prioritize and execute tasks effectively.
• Strong verbal and written communication skills in English; proficiency in other regional languages is a benefit.
• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting platforms.
• High level of discretion, integrity, and ability to handle sensitive and confidential information.
• Proactive, resourceful, and able to work independently with minimal supervision.
• Strong interpersonal skills with a professional and collaborative demeanor.
• Ability to adapt to changing priorities and manage multiple projects simultaneously.
• A relevant diploma or degree in Business Administration or a related field is preferred.
