(POST)[2026] LUXE - Aesop: Retail Operations Coordinator

PURPOSE OF ROLE
This role will support our retail strategy and new store openings, and will be the first point of contact for all internal retail enquiries within Taiwan and global team. The role will provide administrative support and training to our Store and Retail Business Managers and initiate and complete a variety of projects, demonstrating a high level of professionalism. At the same time, the role will be expected to take an
active role in building and maintaining key internal relationships whilst continually assessing, analysing and improving many operational aspects of the business working closely with your manager.

- Global: Global retail operation coordinator
- Regional: Regional retail operation
- Local: Retail team & retail management team
Primary Accountabilities
Key Responsibilities:
- Inventory Coordination; providing support to Retail Managers through retail inventory systems and assist in allocating dispatch of campaign materials and associated items. Support product delivery and product allocation during peak season and product OOS from supply chain.
- Cegid system and weekly store orders coordination; collaborating with supply chain to make sure product delivery and supply to stores including peak trade period arrangement
- Resource allocation and planning for ANSP, MOSP, and regular deluxe samples
- Store action plan integration and key product, monthly sales, cycle counts coordination
- Retail Support; coordinate Aesop account service and invoice queries in relation to banking, utilities, stationary, security etc.
- Provide internal administrative support and answer enquiries from Taiwan retail teams and ensuring adherence to the Global Operational Guidelines
- Work with Retail Development where required to escalate any urgent maintenance concerns or queries
- New Store Openings; support the Taiwan retail team in Aesop account setups and on the ground support if required. Liaise with relevant stakeholders to ensure new doors have all required operational needs
- Retail Communications; maintain effective and regular communication with Taiwan and Global Retail teams to support on all key store issues
- Coordinate weekly bulletin for office and retail staff
- Assist Marketing with coordinating operational requirements for store events throughout the
- year
Technical Requirements (or Certification Requirements)
- Prior administrative experience with strong MS Excel skills
Key Experience, Knowledge & Skills Required
- 3+ year working experience in retail or sales operation coordination
- An individual with the ability to multi-task and undertake responsibilities within set time frames;
- A motivated self-starter who can see opportunities to improve processes and create efficiencies and take action to implement them
- English communication ability to bridge between global team, project team, and Taiwan retail team;
- A high level of attention to detail and the ability to analyse problems and deliver results and
- A commitment to and passion for Aesop’s retail environment, customer service and teams.
