Job Overview
The Facilities Ops Support Manager is a professional role and applies in-depth disciplinary knowledge, contributing to the development of new techniques and the improvement of processes and work‑flow for Real Estate Services Function. Integrates subject matter and industry expertise within a defined area. Requires in-depth understanding of how areas collectively integrate within the sub‑function as well as coordinate and contribute to the objectives of the function and overall business. Strong communication and diplomacy skills are required. Regularly assumes informal/formal leadership role within teams. Involved in coaching and training of new recruits Significant impact in terms of project size, geography, etc. by influencing decisions through advice, counsel and/or facilitating services to others in area of specialization. Work and performance of all teams in the area are directly affected by the performance of the individual.
Responsibilities
- Supports end to end facilities operations including design & construction project management, physical operations and maintenance of building /facilities
- Responsible for supporting, executing, maintaining and/or reporting on the various global functions supporting Citi's Real Estate Services (RES)
- Manages large volumes of data, required to review, validate and update the monthly operating review (MOR) data input and reports
- Maintains high level data quality by validating against applying global benchmarks and historical trends, clarify and correct data with regional colleagues assistance
- Routinely updates dashboards for senior management
- Assists the team in the management and maintenance of standards, procedures and policy documents
- Liaises closely and communicate with effectively with appropriate RES senior management, regional and global colleagues
- Supports various functions and processes such as facility evaluations, incident reporting and tracking
- Assists with creation/modification of presentations, spreadsheets, and other various documents
- Tracks program documentation and conducts follow‑ups to ensure timely and accurate completion
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
- Managing optimal space utilization, planning for future facility needs, and overseeing the strategic selection and provision of new furnishings, fixtures, and equipment to meet evolving operational requirements.
- Coordinate with Business on the stacking plan for end state space requirement of multiple business units in compliance with Private/ Public space requirements.
- Serving as the primary point of contact for all internal business units, adeptly understanding their specific needs, and translating these into practical and effective facility solutions.
- Preparing and presenting comprehensive reports on facility performance, budgetary status, and project progress to senior management, thereby facilitating informed decision‑making.
- Change Management plays pivotal role in establishing of new office premises, including coordination with business on identifying Change Champions, conducting Change Management Workshops, communication on the spaces and amenities being provided, space utilization protocols and helping business to stabilize in the new premises.
- Coordination with GSO and Archibus team for launch & implementation of Citi Workplace App for New premise.
- Driving sustainability initiatives and carbon reduction targets by implementing various energy, waste & water saves initiatives.
- Supervising the execution of comprehensive maintenance plans (PPM Schedule), cleaning services, and general upkeep of premises to ensure a safe, functional, and productive environment for all internal clients, business units, and employees.
- Managing relationships with landlords, external vendors and service providers, and rigorously monitoring Service Level Agreements (SLAs) for essential services such as Critical Infrastructure maintenance and Soft Services to ensure optimal performance and value delivery.
- Ensuring that all managed facilities strictly comply with relevant health, safety, and environmental regulations, as well as local statutory requirements.
- Providing all necessary support to Design & Construction Teams for ongoing space build out including coordinating progress and ensuring full compliance with all relevant project requirements.
- Business relationship with landlords for exiting premises for reinstatement and handover of the premises as per schedule.
- Ensuring that all team members, including extended teams, complete their assigned training according to schedule.
- Mentoring and supervising facility management staff and contractors, fostering a culture of continuous improvement and high performance within the team.
- Being responsible for compliance with Internal Audit reviews related to premises and supporting Risk & Control (R&C) teams by providing necessary assistance as required.
Recommended Qualifications
- Relevant experience in facilities operations role
- Proficient in Microsoft Office with an emphasis on MS Excel
