What is the role?
We have created this new key role within the ITG team of BNP Paribas Romania Branch to act as a bridge between the departments of the recently opened and fast-growing Shared Service Centre (SSC).
We are looking for a candidate who represents ITG towards the other partners and exchanges information on all topics to ensure smooth communication with the key stakeholders.
The Head of Office is responsible for overseeing the efficient operation and management of the office, ensuring smooth day‑to‑day activities, and contributing to the overall success of the organization and will report to the Head of ITG in BNPP Romania Branch.
The Head of Office will have the following responsibilities:
Serve as liaison with staff, executives, senior leaders, and Head of ITG regarding company climate, employee well‑being, project updates, proposals, and planning
Oversee daily operations in collaboration with senior managers and department leaders, and perform administrative tasks such as planning and coordinating annual corporate meetings or scheduling facilities
Develop and build relationships with all employees for increased efficiency and responsiveness of existing operations, and help define new operational strategies by working with Head of ITG and other executives on special projects
Serve as a subject‑matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications
Implement and manage the service‑specific tasks , in alignment with the strategic objectives of the department and division, to achieve company goals.
Ensure all associated activities are conducted in accordance with organizational policies, processes and standards.
Anticipate and lead necessary changes according to the Company’s strategy and division objectives, while ensuring the effectiveness and continuous improvement of the service and managing associated risks and issues
Stimulate teams by setting, managing and monitoring activities associated to the individual objective setting and performance indicators, by means of regular dialogue with staff members and by capturing and cascading relevant aspects of objectives to the team
Monitor and improve the team structure and processes to drive efficiency
Ensure the team is adaptive to continued growth
Manage risks, implementation and monitoring of quality assurance
Finance related tasks:
Assisting the SSC management in controlling their costs and identifying opportunities for improvement.
There is potential to extend support to other shared activities in other countries within the CEE region in the future
Maintain a strong dialogue with the SSC management on all financial topics including tax
Support the SSC budgeting process
Analyze and work together with SSC and Finance EMEA Platform in finding the proper allocation of different types of costs
Contribute to the appropriate cost center and monitoring structure
Active contribution to the preparation of various ad‑hoc reports and investigations to the SSC management
Participate actively in various projects related to SSC development
Operational Permanent Contro l related tasks:
Contributes to performing the monitoring of control execution of operations and Shared Service Teams
Active support of the preparation of Internal Control Committees of the region
Actively participate in the Group driven Risk Control Self‑Assessment exercise for the ITG function and other SSC activities
Active contribution to the policies and procedures for the SSC activities
Liaise actively with CE Region OPC team members , BNP Paribas branches’ stakeholders and Head Office colleagues, subject matter experts.
What qualities do we look for?
As a Head of Office , we expect very good knowledge in the following areas:
Seven or more years of experience in business management or executive role
Strong background in Finance with a good ability to articulate and communicate both in writing and verbally with non‑Finance people
Bachelor’s degree (or equivalent experience) in business administration, finance or similar field
Experience in organizing and directing multiple teams and departments
Experience in planning and leading strategic initiatives
Experience in data analysis and budget management
Consulting experience, with a focus on operations management
Proven success in a project coordination role
Business mind, focused on developing creative solutions
Excellent written and verbal communication skills
Versatile abilities and extreme dedication to efficient productivity
Willingness to learn and work in a changing environment
Pro‑active and innovative ; able to develop/implement changes and improve/optimize workflows
Very good communication skills in English (oral and written); knowledge of French is a plus
